Applies to: Agencies and businesses wanting more Google reviews

How do I build an automation that gets a client more Google reviews?

The quickest way is to tell the AI assistant: for example, you have a roofer client who wants more Google reviews, and you want an SMS or email campaign that makes three attempts asking for a review. Give it the review link: open the business profile on Google Maps, click the button as if you were leaving a review, and copy that link.

To build it by hand:

  1. Go to Agents and create an agent (start from scratch is fine), for example named Get more Google reviews, and create a workflow named Review request.
  2. Set the trigger. Use Manual to message past customers, or a Form submission trigger so the client fills in a short form for every new customer.
  3. Add a Send SMS (or email) step that opens the conversation, using variables, for example: hi, this is [AI name] with [company name], thank you for your business, on a scale of 1 to 10, how would you rate your experience? Do not set it to wait for a reply.
  4. In the agent prompt, tell the AI what to do with the answer. For example: if the rating is 8 or above, thank them, give them the Google review link (use a variable for it) and kindly ask for a review; if it is 7 or below, ask what could have been done better and try to book an appointment or a call with the manager or owner before asking for a review.
  5. To book with the manager, open Tools, add the built in Bookable tool, select the calendar and save, then tag the tool with @ in the prompt. You can also transfer an unhappy caller to the owner with the call forwarding tool.
  6. Make sure the SMS channel is turned on for that phone number on the agent's Channels, so the AI answers replies.
  7. Optionally add a wait (about a day) and a second SMS, and possibly a third attempt.

The AI is not required, but it handles unexpected replies, such as "the service was excellent" or a number typed as words, that a rules only flow with a branch for every answer would miss. The prompt can be short. It works over SMS, email or social messages, and you can test it in voice or chat mode.

Votel recommends this as a turnkey offer: because the client never logs in, it works well as a free trial. Let the business see how many reviews they get in the first week, then charge if they like it.
